Trucking Logistics Dispatch Specialist

Location: Remote (with flexibility for overlapping U.S. business hours)

About the Role

Zappy BPO is seeking a detail-oriented and highly organized Trucking Logistics Dispatch Specialist to support one of our key clients in the transportation and logistics industry. This role involves coordinating freight dispatch, managing communications between drivers, shippers, and customers, and ensuring on-time, cost-efficient deliveries. The ideal candidate will have strong multitasking abilities, excellent communication skills, and a deep understanding of U.S. logistics and dispatch operations.

Key Responsibilities

• Dispatch Coordination & Scheduling
  • Assign and track loads across drivers, ensuring timely pickups and deliveries
  • Monitor active shipments, identify risks or delays, and proactively communicate updates to stakeholders
  • Optimize route planning and driver utilization to minimize downtime and empty miles
     
• Driver Communication & Support
  • Maintain regular contact with drivers to provide instructions, resolve issues, and confirm delivery milestones
  • Ensure all drivers adhere to company policies, safety protocols, and compliance requirements (e.g., ELD/HOS regulations)
  • Assist drivers with load documentation, delivery confirmations, and troubleshooting during transit
     
• Operational Oversight & Data Management
  • Update dispatch logs and transportation management systems (TMS) with accurate, real-time data
  • Monitor KPIs such as on-time performance, route efficiency, and customer satisfaction
  • Prepare end-of-shift or daily summaries highlighting key activities, exceptions, and resolutions
     
• Customer & Carrier Communication
  • Serve as a liaison between shippers, receivers, and drivers to confirm load details and resolve logistical issues
  • Manage inbound inquiries related to scheduling, tracking, or delivery status with professionalism and urgency
  • Escalate complex operational issues to team leads or operations managers when required
     

Qualifications

• 2-4 years of experience in logistics, dispatch, or freight coordination (trucking industry experience preferred)
• Strong knowledge of U.S. trucking operations, DOT/ELD compliance, and route optimization
• Exceptional spoken and written English; comfortable holding conversations over the phone
• Proficiency with dispatch or TMS platforms (e.g., Samsara, McLeod, Truckstop, Loadsmart, or equivalent)
• High attention to detail, strong organizational skills, and the ability to multitask in a fast-paced environment
• Comfortable working remotely with cross-functional teams and using multiple communication channels (Slack, Zoom, email, etc.)

Preferred Attributes

• Prior experience supporting U.S.-based trucking or freight brokerage clients
• Familiarity with KPI tracking and load performance metrics
• Problem-solving mindset with the ability to stay calm under pressure
